Church Secretary - Full Time

Job Description

The church secretary will provide administrative and organizational support for the church staff and congregation alike.  The position is critical to the efficient and effective function of the ministry of The Pasture.  The secretary will serve in capacities that are both behind the scenes and forward facing and as such must be self-motivated, well organized, and able to multi-task effectively.  The secretary must be pleasant and personable, possessing a friendly and compassionate persona and exercising excellence in communication. 

 

Responsibilities

  • Function in a receptionist role, greeting and serving those who walk into the church office and answering phone calls and general inquiry and communication via e-mail, social messaging and text.

  • Provide general support organizationally to the staff of The Pasture.

  • Foster excellent communication between pastors and staff and between the congregation as a whole and the ministry teams.

  • Function as the liaison between The Pasture and its various vendors and ministry partners.

  • Keep church records and critical documentation organized and accessible.

  • Maintain the inventory of office related supplies.

  • Maintain the church calendar to ensure the organization of events. Includes coordination with building services providers.

  • Maintain the data base of congregant information.

  • Routine filing of paperwork and digital documents.

  • Preparation of greeting cards for pastoral signatures and mailing.

  • Monitor and inform pastoral team of congregant hospitalizations and other medical needs, or deaths.

  • Monitor inventory of The Pasture branded merchandise that is for sale.

  • Monitor and maintain inventories of ministry related literature.  Update as necessary.

  • Maintain a church prayer list.

  • Assist with dissemination of general church information via various means of mass communication that The Pasture may choose to employ.

  • Other duties as assigned.

Requirements

  • Detail-oriented and effectively able to manage multiple projects within tight timeframes.

  • Self-starter who can study, learn, and operate within our current strategies and then suggest ideas for growth, advancement, and improvement to efficiency and technology.

  • Strong communication skills and ability to interact with volunteers and staff with creativity and flexibility, even under deadline pressure.

  • Hi levels of proficiency with Microsoft Office Suite, Google, Dropbox, Planning Center, and other technological tools used at The Pasture.

  • Ability to utilize and navigate social media platforms effectively.

  • Hi levels of proficiency in troubleshooting and problem-solving.

Additional Requirements:

  • Secretarial experience is preferred.

  • Must be able to maintain confidentiality around financial records, counseling situations, personnel matters and other matters that are private that have not been permitted to be disclosed.

  • A commitment to excellence.

  • Possess a vibrant and growing faith in Jesus Christ.

ACCOUNTABILITY & COMMUNICATION: Works directly with the pastoral team.  Regular communication and coordination with the larger staff are essential, which includes attendance at various mandated staff meetings.

 

HOURS: Full-Time 36-40 hrs./wk.
